Office Administration Manager
Location: West Bloomfield, MI 48323
Job Summary:
The Office Administration Manager will support the Executive Director, Membership & Community Engagement Director as well as lead the administrative team. This multifaceted role is a great opportunity for an experienced manager who thrives in leading and developing others as well as rolling up their sleeves to support business leaders.
Duties and Responsibilities will include, but are not limited to the below areas:
Administration Team Leader:
• Develops and leads a group of administrative assistants and receptionists
o Partners with direct reports in setting of goals and annual performance expectations, and in providing ongoing and constructive feedback, coaching and training to ensure the performance standards for the position are met.
o Participates in hiring process for administrative staff and leads onboarding efforts to acclimate new hires to Temple’s culture and operations.
o Partners with direct reports in establishing development plans to advance his/her capabilities based on career aspirations and individual skills and experiences
o Leads an open-door culture where team members feel heard, and any concerns or questions are quickly resolved
o Anticipates staffing needs to ensure appropriate support to assigned leadership and balanced workloads among the team
o Reviews and approve the team’s hours worked to process payroll
o Reviews and approves requests for PTO and coordinates back-up coverage
Executive Director Assistant:
• Participate in company meetings to take minutes and follow up as needed
• Maintain the organization of the department calendar
• Draft documents to help with necessary meeting preparations, internal announcements, presentations, and other communications
Membership & Community Engagement Director Assistant:
• Oversee the data collection (e.g., surveys, event registration forms and other platforms) that is necessary for supporting membership.
• Analyze and summarize data to help drive decision making in areas of engagement & programming.
• Maintain the organization of calendar for the department
Skills and Educational Requirements:
• Experience in leading a team
• Intuitive knowledge of digital platforms – computer savvy
• Ability to maintain confidentiality of sensitive information
• Effective written communication skills including creating and editing letters
• Accurate and timely completion of work
• Ability to gather information and materials to present them in a professional and creative manner
• Excellent organizational, team and independent work skills
• Proficient in MS Office applications, including Word, PowerPoint, and Excel
• Desire and dedication to further the goals and mission of Temple Israel
• Bachelor’s degree
